Job Overview: We are seeking a highly motivated and experienced Conference Producer to join our team. The ideal candidate will be responsible for the research & development, planning, and execution of energy-related conferences. This role requires an understanding of the energy industry, excellent project management skills, and the ability to work collaboratively with various stakeholders including advisory boards and sponsors.
Key Responsibilities:
• Research and Content Development:
o Conduct in-depth research to identify key trends, topics, and issues in the energy sector.
o Develop Industry Advisory Boards that will assist is identifying key trends and topics and potential speakers.
o Develop compelling and relevant conference agendas that address the needs and interests of the target audience.
o Source and recruit high-profile speakers and industry experts to participate in conferences.
o Identify and sell sponsorships to new organizations.
• Project Management:
o Oversee the end-to-end production of conferences, including planning, scheduling, and on-site execution.
o Coordinate with internal teams (marketing, sales, operations) to ensure seamless event delivery.
o Manage timelines and ensure all project milestones are met.
o Scheduling and Hosting regular Advisory Board Meetings and Panel Planning meetings.
• Stakeholder Engagement:
o Build and maintain relationships with industry speakers, associations, stakeholders, sponsors, and partners.
o Work closely with speakers, panelists, and moderators to ensure they are prepared and informed about their roles.
o Collect speaker bios and photos as soon as speakers are confirmed.
• On-Site Management:
o Prepared detailed ‘run-of-play’ documents to be shared with AV techs, MC’s and other stakeholders.
o Working in partnership with Operations, manage conference associated speaker coordination, AV setup, and some event logistics.
o Participate in the on-site execution of conferences, ensuring a smooth and professional experience for all attendees.
o Be prepared to emcee conference sessions as required.
• Post-Event Activities:
o Conduct speaker post-event evaluations to gather feedback and identify areas for improvement.
o Incorporate delegate and speaker feedback into plans for the next year’s planning.
Qualifications:
• Proven experience in conference production or event management, preferably within the energy sector.
• A basic understanding of the energy industry and its key players and a strong interest to learn more about the advancements in the sector.
• Excellent project management and organizational skills.
• Exceptional English written and verbal communication skills.
• Ability to work under pressure and meet tight deadlines.
• Proficiency in MS Office Suite and event management software.
• Proficiency using LinkedIn to research and connect with speakers, stakeholders and sponsors.
Preferred Skills:
• Experience with virtual or hybrid event formats.
• Knowledge of marketing and promotional strategies.
• Strong networking and relationship-building abilities.

EventWorx is seeking an organized, driven, and result-oriented individual to join our team as a Sales Executive – Exhibit and Sponsorship Sales.
The successful candidate will play a pivotal role by working closely within our sales department to drive sales and client satisfaction. As a Sales Professional, you will be responsible for selling exhibit space and sponsorships related to an assigned portfolio of events, engaging with both new and existing clients.
To begin with, the Sales Executive – Exhibit and Sponsorship Sales will be assigned to an existing portfolio of shows, and over time could work on new launches. As a Sales Representative, you will be at the forefront of our growth, with the potential to influence the company's market position.
You will have the unique opportunity to train alongside a group of event experts, gaining valuable insights and skills in event management and sales. The role offers a nice balance of in-office and work-from-home formats.
The Ideal Candidate
The ideal candidate is a highly motivated and results-oriented individual with a strong track record in sales. With 3-6 years of sales experience, they have demonstrated their ability to develop their own leads, cultivate and expand business relationships effectively. Their excellent communication skills, both verbal and written, are paired with proficiency in Microsoft Office Suite, and CRM systems, enable them to excel in a fast-paced environment. The candidate must be able to demonstrate time management skills and the ability to work effectively on their own. Candidates must possess a valid driver's license and access to a reliable vehicle as they are expected to meet clients.
While completed post-secondary education is considered an asset, what truly sets candidates apart is their self-motivation and commitment to achieving goals.
