Job Title: Events Registration & Admin Coordinator

Location: Calgary, Alberta (generally in office 3 days per week and work from home 2 days per week – although this is subject to change depending on event-based needs). The office is located outside of downtown in South-West Calgary and offers good access to transit and free staff parking.

 

Position Overview:
We are seeking a detail-oriented and proactive Events Registration & Admin Coordinator to support our finance team in handling critical tasks related to event registration, customer support, sales administration, and accounts receivable processes. This role will also involve occasional travel to our events, providing an exciting opportunity to see your work come to life.

 

Full-time permanent position (40 hours per week), reporting to CFO.

 

Key Responsibilities:

  • Registration Setup: Setup and manage event registration systems, ensuring a smooth user experience. This includes entering data into Event Applications for each event.
  • Customer Support: Respond to inquiries from exhibitors and attendees providing outstanding support and resolving issues promptly.
  • Sales Administration: Support the sales team with administrative tasks such as updating CRM systems and spreadsheets, and preparing registration reports.
  • Accounts Receivable: Manage invoicing processes, follow up on payments, and assist with collections as needed.
  • Event Support: Travel to events to manage onsite registration and provide administrative support when required.
  • Collaborate closely with the finance team to streamline processes and ensure accuracy in all registration and administrative operations.

 

Qualifications:

  • Proven experience in administration, or a related field. Some accounting knowledge is an asset.
  • Strong organizational skills.

·       Candidate much be proficient in written and spoken English

  • Excellent communication and interpersonal abilities.
  • Proficient typist and data entry, as much of our communication is done via email and various applications.
  • Proficiency in tools like Microsoft Excel, CRM software, and event registration platforms. Ideally, some exposure to an accounting system such as Quickbooks.
  • Ability to work independently and as part of a team.
  • Willingness to travel to events within North America.
